This week I’m covering how to use Zapier and ChatGPT to answer emails in an intelligent way for you.

Why you should care: Feel like you're stuck in an ever-increasing pile of emails? It's hard when you have too many unimportant emails in your inbox and are afraid of missing the important ones. But it's not just hard; it can actually hurt your business if an important message gets lost.

What you need to know: Imagine opening your inbox and not worrying about what you'll see. It's not just a dream; it can happen. AI can organize your emails so you never miss anything important. And the best part? You don't have to do anything. With AI handling your emails, you can focus on what you enjoy, making your life easier. It's like having a super organized friend who loves to tidy up - but for your inbox.


On with the story…

It’s past 1 am.

I can barely keep my eyes open.

I’ve been at accident and emergency with one of my (over adventurous) sons, yet again, for the past 4 hours.

I'm tired, but also relieved and somewhat content…

…relieved as my son is fine. It’s nothing serious that a few painkillers can’t fix.

…content, as in my worried state as I waited, I cleared my inbox.

To the legendary inbox zero state.

Out of 1000s of emails, a hundred or so needed replies, maybe 10 that I shouldn’t miss.

It got me thinking. Surely AI could do this for me?

It can. Here’s how.

How To Use ChatGPT & Zapier For Smart Replies To Your Emails

In this step-by-step guide, we will explore how you can leverage the power of AI and Zapier to automate your email responses. By using OpenAI's ChatGPT API and Zapier, you can create a seamless workflow that will handle your email inquiries and responses with ease.

You will need:

  • Paid Zapier account

  • Paid OpenAI account

  • Gmail account

How to Works

When a new email lands in your inbox, it triggers a new workflow in Zapier. Zapier takes the email and sends it off to OpenAI’s AI with your prompt to create a reply. Then Zapier goes back and replies with that AI reply on your behalf.

Step One - Set up a trigger in Zapier

Create a new Zap using ‘Gmail’ as the trigger, connect up your Gmail account with the event ‘New Email’ and the trigger as ‘Inbox’

Step Two - Get ChatGPT to reply the new email

The next stage in the zap will be setting up the prompt to run alongside the email reply into ChatGPT’s API.

You will need to connect Zapier with OpenAI using an API key which you can find here

Firstly choose the app ‘ChatGPT’, and the event as ‘Conversation’. You can then run through the Zapier form to fill in the information as required.

User Message = recall the email from the previous step using the drop-down

User Name = Recall ‘from name’ from previous step using the drop down

Assistant Instructions = Here is where you add your prompt for GPT, it can be as long or as short as you wish however, remember the better the prompt the better the output. You have to tell ChatGPT exactly how you want it to respond to different message types. It will take some editing and testing so use the GPT playground to test and improve your prompt for different types of email.

Model = GPT4

Memory Key = Select 'New Email Matching Search in Gmail' and choose 'Message Id'

Max Tokens = 250

Temprature = 0.4

Top P = 0.9

Once you have inputted all the information you can run a test and you can see the response from ChatGPT.

(Remember the settings above are what we use, you may need to amend these to find what works best for you and your needs)

Step Three - Create a draft reply in Gmail

Now we have the response from GPT we can now create the draft reply in Gmail

Select the action as ‘Gmail’ > ‘Create Draft Reply’ and use the following settings:

Thread = Select 'New Email Matching Search in Gmail' from the drop-down and then 'Thread ID'

To = Select 'New Email Matching Search in Gmail' and choose 'From Email'

From = Add in your email (the email you are replying from)

Body = Here is where you add the email reply along with any additional text. Select 'Conversation in ChatGPT' and then 'Assistant Response Message'.

Step Four - Publish and check your inbox for draft replies

Now we have created our automation, it's time to give it a name and publish.

Once you have published your Zap you can run some tests, try sending yourself an email and see what happens.

You will see you have ChatGPT-generated replies sitting in your inbox as drafts for you to check before sending.
